FINAL SCOPE
Package information represents the general scope of included services and deliverables. Final deliverables, production requirements, scheduling, crew, equipment, and approved customizations will be reviewed and confirmed before work begins. Finalized project terms supersede general website descriptions where applicable.
SCHEDULING & AVAILABILITY
Production dates are reserved in the order bookings are confirmed and remain subject to crew and equipment availability. Narrative Film productions receive priority scheduling and priority access to premium production resources.
WORK HOURS
Standard production days are 10 hours, including travel time, with a 1-hour lunch break. Certain packages and discounted services include shorter production windows as specifically listed. The production hours stated in the selected package supersede the standard workday.
OVERTIME
Time exceeding the production hours included with the selected package is billed at 1.5× the applicable hourly rate. For standard 10-hour production days, overtime begins after 10 hours. For packages with shorter production windows, overtime begins after the included production time.
REVISIONS & MILESTONE APPROVALS
Post-production revisions are managed through milestone-based approvals, with the number of included milestones determined by the selected package. Each included milestone provides one revision opportunity before approval. Once a milestone is approved, work proceeds to the next stage.
Additional revisions, changes to previously approved milestones, or revisions beyond the included package scope are always available but may require additional post-production fees.
CLIENT FEEDBACK & DELIVERY
Published turnaround times assume timely client feedback and milestone approvals. Client delays, requested changes, or delayed approvals may extend the final delivery date and could affect scheduling when projects overlap with previously booked work.
CLIENT-CAUSED DELAYS
Production time includes delays caused by unavailable locations, talent, products, approvals, access, or other client-controlled circumstances. Additional time required beyond the scheduled production window may result in overtime or additional production fees.
CANCELLATION & RESCHEDULING
Confirmed production dates reserve crew, equipment, and availability specifically for the client. Cancellations or rescheduling may result in fees based on notice provided, non-refundable expenses already incurred, and resources committed to the production. Any applicable fees will be outlined in the finalized project terms.
WEATHER & PRODUCTION CONDITIONS
When forecasted conditions may prevent safe or professionally appropriate production, BFX Films may recommend rescheduling. When possible, weather-related scheduling decisions will be made at least 72 hours before production, with no rescheduling fee when mutually agreed upon, excluding non-refundable or previously committed expenses.
Conditions may change unexpectedly, and BFX Films reserves the right to postpone or modify production when safety, equipment, flight operations, or production quality may be compromised. If a client elects to proceed against BFX Films’ recommendation, scheduled production time and committed costs remain billable, and any additional production or reshoot may require additional fees.
MEDIA & PROJECT RETENTION
BFX Films will retain project files and production media for a limited period following final delivery. Long-term storage or archival services are not guaranteed unless specifically arranged. Clients are responsible for maintaining copies of final delivered files.
PORTFOLIO & PROMOTIONAL USE
Unless otherwise agreed in writing, BFX Films may display completed work and selected production materials for portfolio, website, social media, reel, award submission, and other self-promotional purposes. Client confidentiality or release restrictions agreed upon before production will be honored.
MILEAGE
When total project travel exceeds 45 miles, mileage is billed at $0.70 per mile.
TRAVEL DAYS
Travel required outside the local production area is billed at $800 per person for a full travel day or $400 per person for a partial travel day. A partial travel day generally applies when travel occupies approximately half of the working day or less.
TRAVEL EXPENSES
Required airfare, lodging, ground transportation, rental vehicles, parking, baggage and equipment fees, and other approved travel expenses are billed separately from travel-day rates. Applicable travel arrangements and expenses will be confirmed before booking.
PER DIEM
Per diem is $25 per person, per day when applicable. Certain packages, shorter productions, and local productions may not require per diem. Any applicable per diem requirements will be confirmed as part of the finalized project scope. Additional costs associated with required dietary accommodations are covered by BFX Films.
CRAFT SERVICES
A $40 base craft-services fee covers snacks and beverages for extended production periods when applicable. Certain packages, shorter productions, or smaller crews may not require craft services. Larger crews or productions may require an adjusted craft-services budget.
PERMITS, LOCATIONS & SPECIALTY EXPENSES
Permits, location fees, talent, specialty crew, specialty equipment, premium music licensing, and other project-specific expenses are not included unless specifically stated in the selected package or finalized project terms.
CREW & EQUIPMENT
Crew and equipment costs must be paid in advance to secure production resources and the scheduled production date.
DEPOSITS
A 50% deposit may be required for larger or custom productions, with the exact payment structure confirmed before booking.
POST-PRODUCTION
Post-production balances are due upon final approval of the agreed deliverables unless another payment schedule has been established.
